1. Who we are

LearnSpace is a community-supported educational enrichment program operated by [Church Name], a church organization. LearnSpace is not a licensed educational institution, accredited school, or professional tutoring service. This Privacy Policy explains how we collect, use, store, and protect information from students, parents, guardians, and volunteers who participate in our program.

2. Information we collect

We collect only the minimum information necessary to operate the program effectively and safely.

For students:

  • First and last name
  • Grade level and school name
  • Email address (optional for students under 13)
  • Phone number (optional)
  • Program enrollment selections (Math, English, or both)
  • Assignment submissions, grades, and tutor feedback
  • Q&A board posts and replies
  • Login username (no real name required)

For parents and guardians:

  • Full name and relationship to student
  • Email address and phone number
  • Emergency contact name and phone number
  • Signed consent agreements and dates

For volunteers:

  • Full name, email, and phone number
  • Volunteer role and subject expertise
  • Background check authorization and status
  • Reference contact information
  • Application responses

3. How we use your information

Information collected is used solely for the following purposes:

  • To register and activate student accounts
  • To assign students to appropriate learning tracks
  • To post assignments, provide feedback, and track academic progress
  • To enable parent visibility into their child's participation
  • To facilitate Q&A board communication between students and tutors
  • To screen, train, and manage volunteer participants
  • To respond to inquiries, concerns, and safety reports
  • To comply with legal obligations including COPPA

We do not use student or family information for marketing, advertising, or any commercial purpose.

4. Children's privacy (COPPA)

LearnSpace takes the privacy of children seriously. For students under the age of 13, we comply fully with the Children's Online Privacy Protection Act (COPPA):

  • We require verifiable parental consent before collecting any information from a child under 13
  • We collect only the minimum information necessary for program participation
  • We do not share children's information with third parties for commercial purposes
  • Parents may review, correct, or request deletion of their child's information at any time
  • We do not allow children under 13 to publicly post personal information
  • Email addresses are optional for students under 13

5. Who has access to your information

Access to student and family information is strictly limited:

  • Program administrators — full access for program coordination
  • Assigned volunteer tutors — access to the student's name, grade, assignments, and grades only
  • Parents/guardians — access to their own child's portal only
  • Students — access to their own portal only

No volunteer has access to a student's home address, school address, emergency contact information, or parent contact details.

6. Data sharing

We do not sell, rent, trade, or share student or family information with any third party. The only exceptions are:

  • When required by law or court order
  • When necessary to protect the safety of a child or other individual
  • With background check service providers, solely for volunteer screening (volunteer data only)

7. Data storage and security

All data is stored securely using Google Firebase, which provides industry-standard encryption at rest and in transit. We implement the following security practices:

  • All data is encrypted using HTTPS/TLS in transit
  • Passwords are hashed and never stored in plain text
  • Role-based access controls limit what each user type can see
  • Access logs are maintained for administrative review
  • Volunteer interactions within the platform are logged

8. Data retention

We retain student and family information for as long as the student is actively enrolled in the program. Upon withdrawal, account data is retained for up to 12 months and then permanently deleted unless a shorter retention period is requested. Parents may request immediate deletion at any time by contacting us at privacy@learnspace.org.

9. Your rights

Parents and guardians have the right to:

  • Review all information we hold about their child
  • Request correction of inaccurate information
  • Request deletion of all information at any time
  • Withdraw consent and remove their child from the program
  • Receive a copy of the data we hold about their child

10. Cookies and tracking

Our website uses only functional cookies necessary to maintain login sessions. We do not use advertising cookies, tracking pixels, or behavioral analytics tools that collect personal information. We do not track student activity for commercial purposes.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page with a new effective date. For material changes, we will notify parents by email. Continued participation in the program after changes take effect constitutes acceptance of the updated policy.
